Operational Specialist - Supply & Wholesale

About the Role
We are looking for an Operational Specialist - Supply & Wholesale to join our client's team. This hybrid role will focus 60% on supply chain planning and 40% on wholesale operations. The successful candidate will play a key role in managing inventory, ensuring timely delivery of materials, and supporting the wholesale team in processing orders and customer coordination. The position requires a hands-on approach to managing day-to-day operations while also having a strategic mindset to support the company’s long-term goals.
Responsibilities
- Supply Planning (60%):
- Perform weekly data pulls for sales and inventory, and manage the supply planning model across finished goods SKUs.
- Maintain balanced inventory levels between 3PL and Amazon FBA to meet target weeks-of-stock (WOS) thresholds.
- Manage raw material planning for specific SKUs, ensuring timely delivery to contract manufacturers.
- Create purchase orders (POs), track delivery timelines, and coordinate inbound shipments with suppliers and 3PL.
- Manage FBA transfer orders and generate necessary shipping labels in Amazon Seller Central.
- Process invoices and transfer orders, and ensure accurate stock reception in the ERP system (Cin7).
- Maintain and audit SKU data across all platforms (Amazon, 3PL, ERP).
- Onboard new suppliers as needed.
- Proactive escalation of appropriate issues to manager
- Wholesale Operations (40%):
- Manage end-to-end order processing for wholesale customers, including sales order receipt, processing, fulfillment, and order confirmation.
- Coordinate with 3PL to ensure on-time outbound shipments and manage freight arrangements.
- Communicate tracking information and invoices to customers, and proactively resolve any delivery exceptions.
- Track invoice payments and escalate outstanding receivables to the Sales Manager.
- Lead new customer onboarding, ensuring compliance and proper setup in internal systems.
- Maintain accurate SKU data in wholesale customer portals and update records as needed.
Requirements
Must Have:
- Advanced English proficiency.
- 3-6 years of experience in supply chain operations, demand planning, or wholesale sales operations.
- Hands-on ERP experience (Cin7 preferred, NetSuite, DEAR, or similar accepted).
- Experience with Amazon Seller Central, specifically handling inbound shipments, FBA transfers, and label creation.
- Advanced proficiency in Google Sheets (VLOOKUP, INDEX-MATCH, IMPORTRANGE, pivot tables).
- Proven experience analyzing demand to determine reallocation of inventory and/or creation of purchase orders
- Experience coordinating with contract manufacturers, raw material suppliers, freight providers, and 3PL warehouses
- Ability to manage multiple workflows (i.e. multiple wholesale orders to process, multiple POs to place, other POs to follow-up on, and invoices to receive) by proactively prioritizing and staying calm through the daily fires that pop up
- Strong organizational skills and attention to detail.
- Great communication skills to influence outcomes (i.e. know how to build good relationships with suppliers to improve PO timing/ know how to relay information to customers
- Be system-oriented; understand the big picture so that the little details can be prioritzed well or improved/changed as we scale
Nice to Have:
- Experience with Shopify, ShipStation, or QuickBooks Online.
- Background in wholesale or retail order management, including EDI, retailer portals, and routing guide compliance.
- Experience in a small company (under $50M) with a broad range of responsibilities.
- Exposure to contract manufacturing and co-packer relationships.
