Headcount - Payroll

                Plan A Technologies is looking for an experienced headcount to own payroll coordination and accounts payable processing for a multi-branch, multi-state organization. This role is hands-on and detail-intensive and is best suited for someone who has already run payroll reviews and high-volume AP, not someone looking to learn payroll for the first time.
You will coordinate payroll inputs and reviews using Paycom (external processor) and manage AP in bill.com. Accuracy, compliance, follow-through, and discretion are critical.

Please note: you must have at least 3+ years of hands-on payroll and accounts payable experience to be considered for this role. Candidates without direct payroll review experience or multi-state exposure will not be considered.

JOB RESPONSIBILITY

Payroll Coordination (Primary Responsibility)

- Own weekly payroll coordination for four branch locations
- Collect, validate, and review payroll submissions for completeness and accuracy before processing
- Review payroll calculations including regular wages, overtime, commissions, bonuses, deductions, and garnishments
- Ensure compliance with federal, state, and local wage and hour laws across multiple states
- Review and reconcile payroll reports in Paycom prior to submission
- Investigate and resolve payroll discrepancies independently and escalate as needed
- Prepare payroll summaries and obtain Controller approval prior to release
- Partner with HR to ensure accurate onboarding, offboarding, benefit deductions, and employee data changes

Accounts Payable Responsibilities
- Review and process high-volume vendor invoices and credit card charges for multiple branches and legal entities
- Ensure proper GL coding, approvals, and adherence to AP workflow in QBO
- Collect and validate W-9s and confirm vendor legitimacy
- Enforce purchase order compliance and ensure invoices include validity
- Reconcile AP subledgers and resolve discrepancies directly with vendors
- Support month-end close by preparing AP aging reports, accruals, and supporting schedules
- Collect and review monthly vendor statements as part of the close process

EXPERIENCE

- Minimum of 3 years of hands-on payroll and accounts payable experience
- Experience supporting multi-branch and multi-state payroll
- Working knowledge of wage and hour laws, payroll deductions, and garnishments
- Direct experience using Paycom and bill.com
- Proven ability to manage recurring weekly payroll deadlines without reminders
- Strong attention to detail and ability to identify errors before processing
- High level of discretion handling confidential employee and financial data
- Self-starter who can follow established processes and enforce compliance
- Excellent verbal and written English communication skills
- Excellent organizational, problem solver, and analytical abilities
